How to create a New CCR position

Step 1: Log into VIU’s Experience Hub using the Staff/Faculty sign-in option. From the left-hand menu, navigate to Co-Curricular Record, then New Position Requests, and select Add new position to new or existing activity

Step 2: Set the time period and choose Vancouver Island University as the activity category. Under "Select an Activity," choose Add New and enter the activity title (including the department), two paragraphs outlining responsibilities and department details, the semester, and the location

Step 3: Provide the specific position title and a description that includes both an overview and requirements. You must also write a CCR transcript description of no more than 200 characters in the past tense, which is what students will see on their official records

Step 4: Input the application instructions for students and ensure Include in Catalogue is set to Yes so the position is visible in the Opportunity Directory. Specify the average hours required, provide contact information, and always enable time tracking after submitting these details.

Step 5: Select up to six competencies (referencing VIU Graduate Attributes) that align with the role. Finally, provide the validator's information (name, email, and phone number) so the CCR team can contact you if necessary before clicking Finish to submit.

 

How to validate a CCR position

Step 1: Start by going to VIU’s Experience Hub platform and log in using your Staff/Faculty Login.

Step 2: On the menu on the left hand side click “Co-Curricular Record”. Here you will see all students who have submitted for CCR recognition. Click on the student’s username to view their submission.

Step 3: Next you will need to confirm the student‘s hours, reflection, and competencies. If the student has not met the following requirements, they cannot be approved:

  • 15 hours or more in the position;
  • A 75 word minimum reflection; and,
  • A minimum of 1 Graduate Attribute and a maximum of 6 graduate attributes selected.

Step 4a: If the student has met all the requirements for approval, click the three dots on the left hand side. From their select “Approve”. Ensure the “Send Approval email” option is enabled and click “approve”.

Step 4b: If the student has not met all the requirements for approval, click the three dots on the left hand side. Select “Decline”. Ensure the “Send Declined email” option is enabled and click “Decline”.
