Campus Catering Policies

Office Hours

The office is open Monday to Friday, 8am to 11am. We are here to serve the VIU Community. We offer a range of services from meetings to large events.

Minimum Orders

Minimum orders for delivery and service are required as specified below

  • Monday to Friday 6:30 am to 7 pm $30.00 minimum order
  • Monday to Friday 7 pm to 10 pm $100.00 minimum order
  • Saturday and Sunday $1500.00 minimum order
  • Statutory Holidays $2500.00 minimum order

Orders not reaching minimums will be charged the difference, and may incur additional staff charges.

Off Campus Orders

  • A delivery charge will apply to all deliveries off campus, this will be determined by distance and number of trips required.

Order Deadlines

  • Menu selection must be finalized 72 business hours prior to the day of the event start time. (Saturday and Sunday are not considered business hours.)
  • Confirmation of numbers must be finalized 72 business hours prior to the day of the event start time.
  • If changes are made after this deadline, guests will incur a flat fee charge of $25
  • Campus Catering will make an effort to accommodate requests for orders less than 72 hours notice, this will depend on business levels.

Cancellations

  • Cancellations must be made 72 business hours prior to the day of the event.
  • Cancellations made less than 72 business hours prior to the event will be charged 100% of original quoted price.

Delivery Times

  • The Catering team will set up 15 minutes prior to event start time.
  • Campus Catering requests that our VIU customers have their tables setup and ready to accept the delivery onsite 30 minutes prior to the scheduled start time.

Allergies and Dietary Restrictions

  • Campus Catering will make all efforts in accommodating your needs. Alternative meals provided, may be subject to additional fees.
  • We cannot guarantee our facility to be free of any allergens as the kitchen is also a learning environment for the Culinary Institute of Vancouver Island.

Equipment

  • Campus Catering provide all utensils, cutlery and dishes required for events.
  • Linens are available upon request at an additional charge.
  • Renters are responsible for theft, loss or damage to the catering equipment on loan.
  • Lost or misplaced items may result in additional charges.
  • Supply rentals (dishes etc.) may be required for larger functions and charges will apply as necessary.

Substitutions

  • In the event of a change in product availability, VIU Catering reserves the right to substitute similar products at our discretion. Additionally, we reserve the right to alter pricing structure to meet market fluctuations as required. Pricing will not be updated in existing orders. 

Ownership of Leftovers

  • In accordance with health and safety regulations, leftover food that is not individually packaged remains the property of VIU Catering and will not be removed from the event by the client or the guests of the event.

Catering Liquor License

  • VIU has two permanent Liquor License on campus, Building 300 (Royal Arbutus Room and Cafeteria) and Building 310 (Theatre Lobby). If you have a liquor license request outside of these areas Campus Catering can apply ($20 fee) for a license on your behalf. A ten business day lead time is required.
  • Campus Catering is required to staff and conduct responsible Beverage Service for all liquor license events.
  • A bartender fee of $105 for 3 hours of service. Hourly rate of $35 per hour after 3 hours.
  • Bartender charges will be waived in the event bar sales exceed $250 per bartender before taxes.

Service Charge and Gratuities

  • It is our policy not to apply a gratuity or service charge to any of our catering services. Word of mouth advertising is appreciated when considering the desire to leave a gratuity.
